What does this template do?

A bid pipeline and win rate dashboard keeps one log of every bid a general contractor submits, then shows how the bidding business is doing. It is built for the bid manager and the estimating team who review the hit rate, the value won and the open pipeline each month.

The Bid log holds up to 400 bids with the sector, estimator, delivery method, bid amount, estimated margin, status, award date and the winning amount when a bid was lost. Formulas assign each bid to a month, flag decided bids, weight pending bids by their win probability and measure our premium over the winner on lost bids. The Monthly tab gives 24 months of counts, values and hit rates, with a trailing 12-month hit rate. The Breakdown tab groups the same figures by sector, estimator, delivery method and bid size.

The as-of date on the Dashboard sets the 12-month window. The example is a fictional general contractor with 96 bids from January 2025 to December 2026. The bids, clients and names are invented.

What’s inside

  • Bid log for up to 400 bids with status, award date, margin and winning amount
  • Hit rate by count and by value, decided bids only, with a trailing 12-month figure
  • Weighted pipeline: bid amount times win probability for pending bids
  • Breakdowns by sector, estimator, delivery method and bid size, with progress bars
  • Premium over the winner for every lost bid, averaged by group

Which tabs does the workbook have?

Bid logOne row per bid with inputs, status, award date, weighted pipeline and premium over the winner.
Monthly24 months of bids, wins, losses, hit rates and a trailing 12-month hit rate, with bars.
BreakdownHit rate, margins and premiums by sector, estimator, delivery method and bid size.

What formulas does this template use?

This template holds 3,845 formulas in 5,128 cells across 5 tabs, so 75% of its cells calculate. They use 20 distinct functions; the longest formula is 2,628 characters and 379 of them read from another tab.

FunctionUsesWhat it does
IF7,930one result when a test is true, another when false
MAX1,047largest value
ROUND969rounds to a number of digits
MIN946smallest value
REPT945repeats text
OR503true when any test is true
EOMONTH424last day of a month, months later
AND400true when every test is true
COUNTA400counts non-empty cells
COUNTIFS173counts cells meeting several conditions
SUMIFS132adds values meeting several conditions
SUM94adds numbers

The 12 most used of 20 functions. Counted from the workbook itself. Only functions that Excel, LibreOffice Calc, Google Sheets and Apple Numbers evaluate the same way are used, so the formulas survive every download format.

How do you use it?

  1. Set the as-of date on the Dashboard. The 12-month figures end in that month.
  2. Add each bid on the Bid log tab in the next empty row and choose its status.
  3. Enter the winning amount for each lost bid and the win probability for each pending bid.
  4. Read the Dashboard tiles and checks, then compare groups on the Breakdown tab.

What is it good for?

  • Monthly bid review with the leadership team
  • Tracking the backlog of pending bids and its weighted value
  • Checking whether a sector or delivery method is worth pursuing
  • Reviewing how far our bids sit above the winning amount

Questions about this sheet

How is the hit rate calculated?

Won bids divided by decided bids, which are the won and lost bids. Pending and No bid rows are left out.

Why are No bid rows not counted as submitted?

They are opportunities the company chose not to bid. They stay in the log, but the submitted counts and values leave them out.

How does the weighted pipeline work?

Each pending bid's amount is multiplied by its win probability, and the backlog is the sum of those values.

What does the premium over the winner measure?

Our bid amount divided by the winning amount, minus one, for each lost bid with a winning amount entered.
